Administrative Assistant

Location: BEDFORD, KY

An Administrative Assistance should have an experience in the following descriptions bellow.

Perform routine purchasing functions in accordance with established practices, including running purchase order reports to determine sources of procuring non-stock and stock replenishment items

·         Maintain associated catalogs and/or pricing files

·         May enter and follow-up on purchase orders

·         May provide input to supplier performance monitoring/evaluation

·         May enter claims and assist on supplier approval procedures

·         May conduct inventory control procedures, including maintaining inventory files, updating and generating reports, reconciling inventory accounts, coordinating inventory repairs, assisting in product cycle counting, and controlling non-confirming products

·         Maintain records of job activities by completing required forms, logs and filing documents

Position Responsibilities:

    Coordinate travel arrangements, meetings, trade shows, committees, maintain calendars, catering, and record/​distribute meeting minutes for Executives
    Coordinate special events for the Directors’ Retreats, Annual Meeting, and other corporate events
    Review, approve and prepare invoices for payment and mailing
    Perform data entry, photocopying, faxing, mailing, filing projects, and ordering supplies as necessary
    Assist in planning company events, and coordinate catering for on-site events
    Assist various committees as needed
    Coordinate temp services for planned vacations and serve as backup for unplanned events, as needed
    Develop, coordinate and track activities and deliverables to/​for clients
    Interface with staff/​management to coordinate client activities as necessary
    Process Corporate Travel, create, submit, and monitor all travel and expense reports
    Create Excel documents and PowerPoint presentations for various internal and external meetings
    Coordinate and administer other personal affairs of Executives as required
    Update/​Maintenance of Petty Cash
    Communicate and interact professionally and cordially with clients, management, and staff
    Handle sensitive information with confidentiality and discretion
    Participate in weekly phone coverage rotation for Reception
    Provide back-up coverage for other administrative functions, including reception, as needed
    Provide back-up coverage for all Mail Room services as necessary
    Perform other duties as assigned

Position Requirements:

    3-5 or more years of related administrative experience
    Minimum High School diploma, college degree preferred
    Computer proficiency and technical aptitude with the ability to utilize MS Word, Excel, and Power Point
    Ability to manage projects
    Ability to work with diverse individuals and groups
    Ability to maintain high level of organization for self and others
    Ability to prioritize work and handle multiple tasks
    Ability to work independently and meet deadlines
    Ability to remain flexible and responsive when faced with multiple urgent requests
    Strong organizational skills
    Strong oral and written communication skills
    High Level of Attention to Detail
    Ability to work in a fast paced environment
    Must be Customer Service Oriented and Team-Oriented
    Skill in the use of office equipment including, computer, fax, printer, telephone system.
